Steps for adding a new office/location

Learn the steps to add a new office or location to your account in this guide.

In this guide, we will use the terms "office" and "version". An office and a version represent a location of your business, a branch office, a franchise, etc. We will keep these terms to simplify reading, so "office" and "version" refer to the new physical location you wish to add to your account.

Important: Only the InputKit team can add a desktop to your InputKit account.

Step 1 : Technical integration

If you send sequences manually, you can skip to step 2. When sending, you only have to take into account the new office.

If your sendings are automated, the integration needs to be modified to properly handle your new location. If your team takes care of the integration, simply provide them with the location_id of the new office, in the parameters:

Step 2: Link the Google My Business page to the new office

To link the Google page, you need to go to the Reviews settings.

To go to the Reviews settings, click on your name at the top right and on "Settings".

Then click on the Reviews tab.

You need to have your Google My Business account already connected in order to link the new office page.

Scroll down to the " Configure your online reviews" section to link the page.

Then select the Google location from the list:

Once the account is linked, click "Save" to save the change.

Step 3: Set up the sequence version for the new office

Now that you have added the new office, you need to change the values of its version.

Here are the elements you can change:

  1. The images (email header and background image)

  2. The name of the sender

  3. The sender's email

  4. Reply to email address

  5. The subject and content of the email

  6. The assignment of the alerts

To edit a version, click on "Sequences" in the left-hand menu and click on a sequence to edit.

Once in the sequence, click on "Selected version" at the top left.

You will be able to select a version to make changes:

💡When the legend (Modified ) is written, it means that there have been changes for some values.

💡When the legend (Empty) is written, it means that the version has not been modified, it contains the default values.

Modify images

If you use the same logo, regardless of the office, you can proceed to the next section. If you use different logos, for example by specifying the location of the office in the logo, you can change the header image of the email as well as the background image of the other steps in the sequence.

To change the email header image, click on the "Email" step and then on the "Modify images" button.

A window will open and you have to click on "Modify this version" to select the email header image:

💡To apply the email header image to all sequences for this version, click this button:

💡If you have a different logo for French, you can check this box to add the French version of your logo. A section will appear for you to add the logo:

To change the background image of other steps, click on a step and the sequence and then on "Modify images".

The other steps are the same as for changing the email header image.

Change the sender's name

To change the name of the sender of the email, click on the "Email" step and then on "Modify this version" in the "Sender's name" field.

You will only need to enter the sender's name for this version. Changes are saved in real time.

💡If your account is bilingual, don't forget to make the change for the French version. The field to change the French version is under the field to change the sender name.

💡To apply the sender name to all sequences for this version, you need to click on this button:

⚠️If you are doing SMS sending, don't forget to make these changes in this step too.

To change the name of the sender of the SMS, click on the "SMS" step and then on "Modify this version" in the "Sender's name" field.

You will only need to enter the sender's name for this version. Changes are saved in real time.

💡If your account is bilingual, don't forget to make the change for the French version. The field to change the French version is under the field to change the sender name.

💡To apply the sender name to all sequences for this version, you need to click on this button:

Change sender email and reply email address

To change the sender's email, click on the "Email" step and then on "Modify this version" in the "Sender's email" field. You will only have to enter the sender's email for this version. Changes are saved in real time.

The field to change the reply to email address is located below the field for changing the sender email.

To change the reply to email address, click on "Modify this version" and enter the email address. Changes are saved in real time.

💡To apply the sender email and reply to email address to all sequences for this version, click on these buttons:

Change the email subject

The field to change the email subject is located below the field for the reply email address.

To change the email subject of the version, click on "Modify this version" and make the changes:

💡If your account is bilingual, don't forget to make the change for the French version. The field to change the French version is under the field to change the email subject.

Change the email content

It is possible to have different content in the messages that are sent with the sequences. For example, if you want to specify the office in the message content.

The field for editing the content of the email is located under the email subject.

To modify the content of the email for the version, click on "Modify this version" and make the changes:

💡If your account is bilingual, don't forget to make the change for the French version. The field to change the French version is under the field to change the email content.

Change the SMS content

To change the SMS content, click on the step "SMS".

The field to modify the SMS content is located under the field of the sender's name.

To modify the content of the SMS for the version, click on "Modify this version" and make the changes:

💡If your account is bilingual, don't forget to make the change for the French version. The field to edit the French version is under the field to edit the SMS content.

Assigning alerts

ℹ️ To assign alerts to a user, the user must already be created in your account. If you don't know how to add a user, you can open this guide in another tab to find out how to proceed. 👇

To assign alerts for this version, click on the "Sequence settings" button.

A window will open to allow you to change the settings for the alerts.

To change the user in charge of an alert, click on "Modify this version" and select the user from the list.

To apply the alert settings to all sequences for this office, click this button:
