Learn how to change various aspects of the email you send to your customers.

There are several elements that can be modified in the email step of a sequence. This article contains various guides to help you modify each element of the email step.

Email step

This is where you can make changes or view the email that will be sent to your customers. It is possible to modify various elements, such as the header image, the sender's name, the content of the email, etc. This is also where you can see an overview of the content of the email you send with the satisfaction questionnaires.

To access this step:

  1. Click on "Sequences" in the left-hand menu.

  2. Click on the sequence you want to modify :


  3. Click on the "Email" step:

You will be able to make changes under the " Modify email step " section and you will be able to view the changes on the right under the "Preview" section.

You can enlarge the preview section with this button:

If your account is bilingual, you can change the language of the preview by selecting a language from the drop-down list:

There are several things that can be edited:

  1. The header image of the email

  2. The sender's name

  3. Sender's email address

  4. The reply to email address

  5. Email subject

  6. Use the simple email template (if needed)

  7. Email content

  8. The call to action

  9. The email subject for reminder

The header image

⚠️ Please note that if you use the simple email template, there will not be a header image with your email.

How to add a header image?

To add a header image, click on the " Modify images " button:

And then on Add :

You will be able to drag and drop an image or select it from your files:

It is possible to use a different image for the French version, if your account is bilingual. To do this, click on " Modify image " and check "Use a different image for the French version" :

How to apply an image to all sequences?

If you have a sequence that already contains the header image of the email you want to add or if you are changing your branding and want to quickly apply that change to all sequences, you have the option to apply one image to all sequences.

To do this:

  1. Click on "Sequences" in the left menu

  2. Click on the sequence that already contains the image

  3. Click on the "Modify image" button

  4. Click on the "Apply to all sequences" button:

This will instantly modify the email header image for all sequences in your account.


The sender's name

The sender's name is the name that the customer will see when they receive the email. For example:

💡Good practice: we recommend using the first name of someone who works at your company, but who will not be evaluated in the satisfaction questionnaires.

To change the sender's name, find the "Sender's name" field in the "Modify email step" section:

This is where you can change the name of the sender. The French version is always below the English version.

To apply the sender's name to all the sequences, click on this button:

The sender's email

The sender email is the email that sends the questionnaire. You will see the domain name "@mail1.inputkit.io" at the end of the sender's email address, this ensures better reception of the emails and prevents the email from being considered as spam.

Reply to email address

Your email address will be required for responses. If a customer responds to the email rather than the questionnaire, you will receive a response at the address entered in this field:

To change the reply to email address, simply replace the email address that is already listed with the one that should receive the responses:

Once the email has been modified, you will see a message on the right to confirm that the email has been successfully saved.

To apply the sender's email and/or the reply email address to all sequences, click on this button :

Email subject

The field to edit the subject of the email is located under the email address of the reply:

⚠️ Please note that the "%honorific_last_name%" code is a custom field that allows it to auto-fill with the customer's title and last name value. The other custom field "%employees%" allows to auto-fill with the first name of the employee.

For example, if I receive this email, it will say "Ms. Proulx, how did your appointment go with Arthur?".

The simple email template

The button to activate the simple email template is located under the email subject:

This feature allows you to have an email that makes customers believe that the email was actually written by a human. This is only used for the "Promoters boost" sequence and for sending emails without a questionnaire. Specifically, when using the simple email template, there will be no image in the email and the call to action button will be different.

Email content

This is where you can edit the content that the customer receives in the email. To edit the content of the email, simply click in the text box to write your message.

The changes are saved and appear in real time in the preview on the right:

The box to edit the French version is below the one to edit the English version:

To format the text, several functions are available at the top of the box to write the text:

The custom fields

You can use custom fields to have information automatically filled in depending on the context, for example the customer's salutation and last name (%honorific_last_name%) and the employee's name (%employees%) :

The rectangles containing "Link", "Last name (Mr. Tremblay)" and others allow you to add the necessary code in your email content so that certain things are added automatically when sending emails.

Examples in the previous image:

In the content of the email, there are 3 boxed codes.

  1. The first is the salutation and the last name. In code, this is %honorific_last_name%. When sending, if you write the salutation and the name of your customer, the information will be automatically filled in here.

  2. This is the same concept, but it will list the employee's name.

  3. %link% allows you to have a button and display the call to action.

Call to action

The call to action is the title that will appear in the button in the email:

It is possible to modify what is written on the call to action button. Under the text box for editing the content, there is the field "Call to action" :

This is where you can change the text of the call to action button:

The French version is located below the English version.

Email subject for reminder

You have the possibility to put the same email subject for the reminders by clicking on this button, however we do not recommend it.

Here are our best practices regarding reminders:

  • 1st reminder: Write "Reminder -" and then put the same email subject again. You can look at the previous image as an example.

  • 2nd reminder: Write "Action required -" and then write "Help us serve you better". We recommend this structure to remind the customer why it is important for him to answer the questionnaire.

If you activated 2 reminders, the field to change the subject of the email for the 2nd reminder is under the field to change the subject of the 1st reminder :
